Crear un Backup y Reducir tamaño deHojas

Hola Buen Día a toda la comunidad.. tengo el siguiente proyecto y deseo realizar las siguientes operaciones:

1º necesito crear un backup o copia de seguridad de la hoja (Base 2013) que es una hoja de mi proyecto y mi base primordial.. no quiero que realize varias copias solamente una cada 1 hora y que valla reemplazando las demas.

2º como puedo reducir el tamaño de las hojas que se ajuste al contenido de los siguientes libros: (Consulta legajo) y (constancia escalafon).
